Currently our Schiphol-based team is looking for an operations specialist and a Finance intern!
1. Finance Specialist (full time)
Major tasks & responsibilities:• Review incoming purchase invoices for compliance, process these according to the company procedures in OA system;• Prepare journal entries for all G&A accounts with supporting documentation in accordance with GAAP in EXACT.• Update and maintain fixed asset registers, Organize the inventory and verification of fixed assets, and carry out corresponding accounting treatment• Arrange bank payment and make write-off entries in Exact, process and reconcile bank statements.• Manage and maintain cash-flow, prepare cash flow report weekly and monthly• Manage (company credit card) expense reimbursement, ensuring appropriate documentation is submitted and processing reimbursement to employees as needed.• Prepare salary and benefits payments and related payroll journal entries• Responsible for the timely preparation of monthly financial statements, including fix assets depreciation, prepayment, accrual and expenses allocation;• Submit monthly expense report in FineBI system• Prepare monthly financial closing reports cooperating with the Head of Finance by deadline• Intercompany reconciliations and clarification of differences• Preparation of CBS reports, VAT return, ICP declaration, monthly/quarterly / annually• Arrange annual audit, prepare relevant information to the external auditors and assist in providing support for the annual audit.• Conduct TP agreement signing and support the third party to provide TP report Your qualifications, Knowledge, Experience & Skills and Competencies• Bachelor degree in accounting or Finance• Language skills: Fluent written and spoken English is a must, Dutch or Chinese is a plus.• Working knowledge of UK and NL GAAP• Good communication skills• Team player• Good organizational skills, ability to prioritize workload• Ability to meet constant deadlines• Proactive approach to work to constantly improve internal processes• A “can do” attitude• Attention to detail and accuracy• Proficient working knowledge of Microsoft Office Word, Outlook, and Excel•Experience with Exact system (or alike) will be a plus•With work permit will be a plus
2. Warehouse Supervisor Role and Responsibilities· Responsibility for all freightarriving in and departing from the warehouse· Supervising forklift trainedand certified staff unloading vehicles and re-loading vehicles safely andefficiently· Preparation of freight forvendor collection and delivery to airlines or customers· Preparation of freight inaccordance with Customs compliance, customer SOP and Regulated Agent compliance· Completion of internalreporting and ensuring that all SOP operational requirements are completed· Supervising, managing anddeveloping warehouse staff at all times and achieving productivity targets andKPIs· Establishing work schedules andallocating tasks and responsibilities and checking for quality and completion· Liaising with other departmentheads to address operational issues, improve working practices, solve problems· Identifying trainingrequirements for warehouse staff and providing on the job training whererequiredEQUIPMENT· Maintaining equipment torequired standards, all daily and weekly checks performed· Scanning and recording of allimport items as required by the customer SOP, within company systems· Full and complete recording of deliverydocuments via either hand-held scanners or documentary systems
LOGISTICSAND HEALTH AND SAFETY· Warehouse equipment includingforklifts, pump trucks ad scales are maintained and monitored as per schedulesto ensure safe operation· Forklift and training certificatesto be current and up-to date at all times· Collectively with other membersof team, responsible for all Health and Safety rules and practices within theoperation for staff, visitors, drivers· Contributes to the overall sitesafety and codes of conduct
SYSTEMS AND PROCESSES· Operates within the company WMSand understands the use, function and reporting· Able to train new and temporarystaff in company systems, scanning apparatus, PMC build-up· Works to continuously improve processesand work instructionsGENERAL· Working together with otherteam members, other departments and external partners· Work within the company rules(employee handbook) and code of conduct with particular regard to both internaland external communication· Maintaining all rules onvisitors, doors, freight as required for regulatory compliance
3. Warehouse OperatorFunctieomschrijvingAs warehouse operator, you are responsible for daily operation within the warehouse. For example, loading and unloading of trucks, pick and pack, pallet building including different types of ULDs for freighters. As warehouse operator you will perform the following tasks:• Unloading trucks and documentation checks.• Inspection of received shipment, report any irregularities to supervisor.• Process the received shipments in WMS (Warehouse Management System).• Pallet build up according to the planning.• ULD (AKE/PMC) build up for air transport.Functie-eisen• Fluent in English, Dutch is preferred, Mandarin is a pre.• Honest, hardworking, proactive, serious and responsible.• Have team spirit and operate in accordance with the company's procedures.• Forklift license and prior EPT experience are pre.• You must have VOG or at least qualify for VOG.Arbeidsvoorwaarden You can count on these employment conditions: • A pleasant team with enthusiastic colleagues. • Full-time job, 5 days a week. • Market competitive salary • Holiday and Travel allowance.
4. Operations Specialist (full time)The job•Bridge warehouse and operation team, assist warehouse operation, can meet the operation team’s requirements•Observe and analyses exceptions or issues during warehouse operations and provide the solution and correction plan to the operation team to solve issues on time•Design testing process for new product development or new project and ensure warehouse team can implement it effectively•Daily communicate with carriers and forwarders to ensure the air space allocation can be confirmed and the booking can be adjusted in time as required by daily operation•Support and ensure the Import and Export process goes well, solve the Import and Export Customs’ problems in time•Competent as a full back up of supporting and solving the warehouse operation and Customs’ issues•Daily report to operation manager about warehouse operation issues and Customs issues and action plans•Working in alignment with company’s strategy, new product development, operations team's plan and executing it wellQualification, Knowledge, Skills, and Ability•Have the right to live and work in The Netherlands•Bachelor’s degree or equivalent professional experience•Process / operations experience strong and proven experience in a fast-paced, logistics environment with service-based KPIs and solution-driven, teamwork like attitude•Knowledge of Import/Export standard operation procedures along with an understanding and experience in the relevant fields•Proficient working knowledge of Ms Word, Outlook, and Excel•Possess good analytical and problem-solving skills•Highly-motivated and reliable with the ability to take initiative, outstanding organizational and time-management skills•Have a strong work ethic with a clear sense of responsibility and ownership•Are a pro-active, flexible and communicative team-player•Proficient in business English and possess good oral and written communication skills, (Chinese and Dutch is a plus)
